Terms and Conditions

These terms and conditions (these “Terms”) govern your registration for and participation in 2025 North American Biochar Conference (the “Event”). You represent to us that you are authorized to enter into these Terms.

HEALTH & SAFETY NOTICE By attending the Event, you voluntarily assume all risks related to exposure to communicable diseases, including but not limited to COVID-19. You agree to comply with all applicable health and safety protocols in place at the time of the Event, which may include masking, social distancing, or proof of vaccination/testing as required by the venue or local authorities. If you are experiencing symptoms of illness or have tested positive for a contagious disease within a recommended isolation period, we ask that you refrain from attending in person. USBI reserves the right to modify health policies in accordance with public health guidance and will communicate any updates through official channels.*

CANCELLATION AND REFUND POLICY All cancellations must be submitted in writing and sent by email to Emily@biochar-us.org by September 1, 2025. For cancellations received before July 31, 2025, 75% of your registration fee will be refunded. For cancellations received between August 1 and September 1, 2025, 50% of your registration fee will be refunded. No refunds will be issued after September 2, 2025, except in special cases such as illness or medical emergency. All refunds will be processed within 60 business days following the conclusion of the Event. Bank charges will be deducted. If you are unable to attend, you may transfer your ticket to another participant by notifying USBI in writing at least 14 days before the Event starts. To request a transfer, email tina@biochar-us.org with your confirmation details and the new attendee’s name and email.*

INTRODUCTION By registering for and attending the 2025 North American Biochar Conference (the “Event”), you agree to be bound by these Terms and Conditions (the “Terms”) and represent that you have the legal authority to do so on behalf of yourself or your organization. EVENT REGISTRATION You may only register for and attend the Event in accordance with these Terms. To register, you must complete the Event registration process.

PHOTOGRAPHY, AUDIO AND VIDEO RECORDING By attending the Event, you acknowledge and agree that the U.S. Biochar Initiative (USBI) has the right to photograph, videotape, or digitally record you, and to use, reproduce, broadcast, rebroadcast, or otherwise incorporate any images and/or sound recordings of you or your participation in the Event. These materials may be used for advertising, marketing, fundraising, promotional, training, and internal purposes. You understand that these images and recordings may appear in public media, including the internet, social media, print, or in USBI's or its partners’ publications and posts. These materials may be substantially edited, altered, rearranged, or modified. To the fullest extent permitted by law, you waive any rights or interests you may have in such materials.

LEAD RETRIEVAL By allowing an industry partner to receive your contact information during the Event, you are opting in to receive communications from that entity. You will be subject to their privacy policy and must opt out with them directly.

INFORMATION AND PRIVACY USBI may collect, manage, and share your information in accordance with its Privacy Policy (https://biochar-us.org/privacy-policy) and all applicable data privacy laws and regulations.

VIEWS AND REPRESENTATIONS The views expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily those of USBI. You are solely responsible for the content of any presentations, marketing materials, advertising, or web content you provide.

SECURITY AND SAFETY By participating in the Event, you acknowledge and assume all personal responsibility and risks. You release USBI from liability for any injuries, accidents, or losses and agree to indemnify the organizers against any claims. You must comply with all applicable laws and safety guidelines.

FORCE MAJEURE In the event of unforeseen circumstances or force majeure events, including but not limited to natural disasters, pandemics, acts of terrorism, political instability, or other circumstances beyond USBI’s control, the Event may be rescheduled, postponed, or canceled. USBI will communicate any changes through official channels. You are encouraged to monitor updates and understand that USBI cannot be held liable for losses or expenses incurred due to such events. We suggest you secure appropriate travel insurance coverage.

LIMITATION OF LIABILITY To the fullest extent permitted by law, USBI is not liable for any indirect, incidental, or consequential damages, including loss of profits, arising from your participation in the Event. SPECIAL NEEDS AND REQUESTS If you have special accommodation needs, you should notify USBI at least 30 business days before the Event. USBI will make reasonable efforts to accommodate your request.

CONFERENCE SCHEDULE The Event schedule and content are subject to change. While USBI strives to provide accurate and up-to-date information, we reserve the right to adjust the program as needed due to unforeseen circumstances.

CODE OF CONDUCT USBI is committed to fostering a safe, inclusive, and harassment-free environment for all participants. Discrimination, harassment, intimidation, or unlawful activity will not be tolerated. We welcome people of all backgrounds and identities. Harassment of any kind—including discriminatory or sexual language, imagery, or behavior—is not tolerated in any setting, whether in-person or online, including presentations, workshops, social events, personal interactions, and online communications. You must not share event content or registration credentials without prior authorization. Violations may result in immediate removal from the Event without refund and, if necessary, referral to venue security or law enforcement. USBI staff will determine appropriate sanctions at their discretion. You are expected to act with professionalism, respect, and integrity at all times.

REPORTING VIOLATIONS If you observe or experience a violation of these Terms, you may report it to a member of the conference management team. USBI reserves the right to take appropriate action, including removal from the Event without refund.

TERMS UPDATES These Terms may be updated by USBI at any time. By continuing to participate in the Event, you agree to the revised Terms. ACKNOWLEDGEMENT When registering you are required to read and agree to the Terms and Conditions of the 2025 North American Biochar Conference.*
